We’re looking for a Office Operations Manager in Dubai
 
The Opportunity:
 
Our sale site in Dubai – Jebel Ali Free zone is looking for a dynamic person to join the auction business as our Manager of Office Operations. Reporting directly to the Regional Operations Manager, or in his/her absence to the Vice President Operations EMEA-LATAM, you will be responsible for the management of all the administrative staff and Customer Service Team. You will ensure all policies and procedures are always being followed and assure customer requests and issues are handled in a timely and professional manner.
 
In this role you’ll:
  • Coordinate with assigned CSS and Yard Management how to address and resolve all customer service inquiries and issues as they arise

  • Supervises payments and authorize tax exemptions where applicable
  • Managing, coaching and motivating a strong & very competent team by developing employees to their full potential.
  • Assist all CSS’s and administrative staff with overflow of pre-sale and post-sale activities.
  • Act as the key interface between related head office departments and with CSS and other sales and field stakeholders as required to deal with key issues.
  • Auction preparation; manage, insure and control the scheduling, administration and operations of the customer service function before, during and after the auction.
  • Oversee the entire accounts receivable function (process) for the sale site together with the CSS’s, administrative staff and head office.

  • Manage the distribution and responsibilities of the EMEA queries ensuring a timely and accurate response
  • Hiring and releases temporary sale day staff, manages sale day office PT & visiting staff and assign all sale day responsibilities.
  • Actively promote and offer our value added services with our customers and develop your team in being more sales driven
  • Manage and be responsible for all site related processes and issues such as; (pre-) auction) administration, financial administration, Order administration and suppliers (performance).
  • Actively support the RB Unreserved Commitment to Safety: to send everyone home, every day, the way they came to work, by taking personal responsibility for your safety and safety of your team, co-workers and customers.
 
Here’s what you bring:
  • At least 3 years of supervisory/management experience and ideally 5 years of relevant work experience in a sales driven business environment
  • Solid knowledge of the administrative processes and requirements in Dubai, preferably also of the Free zone
  • Degree in the field of Business Administration, Commerce or a related field.
  • Strong verbal, listening and written communication skills in English are required.
  • Self-motivated, you have the ability to work independently, and you’re not afraid to ask questions.
  • The flexibility to work extended overtime and weekends, particularly around auction dates.
  • Strong, proven problem solving skills; you make sound decisions quickly and confidently.
  • Strong customer service skills, a positive attitude and a passion for working with people.
  • Promote a culture where the health and safety of our employees and customers is top priority for all.
  • A natural people manager that has a passion for developing and growing her/his team and leads by example. 

This job will require you to:

  • Work occasional overtime and weekends.
  • Maintain a valid clean driver’s license.
