● Opens, sorts, and distributes incoming mail, reports, and correspondence for principals
● Coordinate internal and external meetings for Operations Director
● Manage hectic and complex calendar for Operations Managers & Director
● Process expense report and prepare purchase orders
● Coordinate domestic and international travel arrangements and visas
● Build cross – functional relationship between departments
● Ability to multi – task and change direction quickly
● May process invoices and obtain authorizations
● Prepares promotion letters and change of status for most staff, periodically after obtaining authorization
● May participate in the planning and execution of special events for the department and Head Office
● Ensure the timely preparation and delivery of all briefing information for meetings
● Ensure and maintain confidentially of all appropriate communications and documentation
● Communicate daily with internal and external customers, prospects, partners and vendors while exhibiting the highest degree of professionalism, courtesy and diplomacy
● Arrange, distribute, and follow up monthly bills/ receipts and delivery to the finance department on time
● Tracking operations monthly attendance sheets/ CVR’s/ restaurant updates and local staff hiring presence report
